"What does a proper tech-integrated corporate gala in Sandton actually cost?" It's the first question almost every CMO, internal events lead and EA asks us. We don't answer it with a rate card, because a rate card would be a guess. What we can do is show you exactly which levers move the number, so you can brief with your eyes open — and so the proposal you eventually receive reads as arithmetic rather than a headline.
Why we price on application
We do not publish rates. Every production is costed against the scope of items, the work and labour required, the venue and the show days involved — so the number you receive is the number that builds your event.
Two galas with identical guest counts in the same Sandton ballroom can cost very differently: one has a flat floor, house rigging points and a single screen; the other needs a built stage, a flown array, a custom scenic reveal and two rehearsal days. Publishing a per-guest figure would flatter the first brief and mislead the second.
The seven levers that move a Sandton gala budget
- Scope of items. Everything that physically goes into the room — staging, scenic, decor, florals, furniture, drape, LED and lighting. We hold much of this in the Wynberg warehouse we operate, so it comes without third-party hire mark-ups.
- Work and labour. Crew days, riggers, technicians and the size of the bump-in and strike calls. Labour, not equipment, is usually the line that surprises people.
- Venue. Sandton Convention Centre, the Maslow, the Radisson Blu Gautrain and the Houghton each impose different dock access, rigging rules and trading-hour restrictions — which directly set the crew call.
- Show days. A single evening versus a build day, a rehearsal day and a strike morning is a fundamentally different job.
- Production ambition. One hero moment or three. A reveal mechanic, a custom set build or an off-the-shelf staging kit.
- Broadcast scope. Whether the room also runs a hybrid feed, and whether that feed needs multi-camera coverage, live graphics and redundant connectivity.
- Timing. Q3 and Q4 ballroom inventory in Sandton is heavily oversubscribed. Late venue confirmation pushes you onto banqueting rates instead of negotiated package rates.
Where the money tends to sit
Across our production book, the largest lines on a Sandton gala are consistently venue and catering, then technical production (AV, lighting, rigging and crew), then the scenic and decor build. Content, entertainment, talent and guest logistics follow. A contingency line sits openly in every proposal rather than being absorbed into the rates.

Where in-house workflows and 3D rendering change the maths
The reason a tech-integrated Sandton gala in 2026 is costed differently from one planned in 2022 isn't a bigger stage — it's the production pipeline behind it. Two honest cost levers do most of the work:
- 3D event rendering: We build a photoreal walkthrough of the room before a single truss is hired. Clients sign off on sightlines, screen sizes and table flow in the render — which reduces on-site changes and the rush fees that come with them.
- Systemised planning: Run sheets, supplier briefs, guest comms and rehearsal schedules are managed in one shared production system, so the production team spends time on the experience rather than chasing spreadsheets.
- Hybrid-first by default: The same room can broadcast to satellite offices without doubling the AV bill, because the rig is specified for both audiences from day one.
- In-house first: Our own crew and inventory lead every build, so the equipment mark-up layer that sits between most agencies and their suppliers simply isn't in your number.
Three honest cost-saving moves
- Pick a Tuesday or Wednesday. Sandton venue rates soften midweek and supplier availability opens up.
- Commit to one hero moment. One unforgettable reveal beats three good ones, and it's cheaper to produce.
- Use 3D sign-off. Approving a render is free. Reworking a built set on the day is not.
