The venue decides most of a year-end function's budget and nearly all of its risk. Two Johannesburg venues can quote almost the same hire fee and differ by a substantial margin once rigging rules, mandatory in-house suppliers, power limits and load-in windows are priced in. This is what to check before you sign, by venue type.
Start with the format, not the venue
A room that is wonderful for a standing cocktail function can be unworkable for an awards evening with a stage and a screen. Fix the format, the headcount and the start time first, then shortlist. Booking a venue before the format is agreed is the single most common reason a year-end function goes over budget.
Johannesburg venue types, honestly compared
- Hotel and conference-centre ballrooms. Turnkey. Catering, parking, bathrooms, load-in dock and a house AV rig already exist. Watch: House AV is often mandatory or heavily surcharged, and 'ceiling rigging not permitted' quietly rewrites a lighting design. Ask both questions before signing.
- Function venues and estates. Character, garden space and a room that does not look like every other year-end function. Watch: Power supply and a wet-weather alternative. Many estates have one indoor space that only fits a fraction of the outdoor capacity.
- Warehouses and blank-canvas spaces. Total design freedom, and the strongest visual result when the budget supports a build. Watch: Everything is an added line: flooring, power distribution, cooling, bathrooms, kitchen access. Cheap on the venue line, rarely cheap overall.
- Rooftops and outdoor lawns. Best atmosphere in a Johannesburg December evening, and the format guests most enjoy. Watch: Storm cover, wind rating on any structure, lighting once the sun drops, and a noise cut-off time in the lease.
- Restaurants and private dining rooms. Simple and cost-efficient for smaller teams; catering and service are already solved. Watch: Almost no AV and very little control over the room. Fine for a thank-you dinner, wrong for an awards evening.
Capacity: the number that is usually wrong
Venue capacity sheets typically quote the most flattering configuration. Before you believe a number, subtract the footprint of the stage, the screen sightline, the dance floor, the bar queue and the service lanes between tables. A room advertised for 300 seated frequently holds 220 comfortably once a stage and a dance floor are in it. Ask for a floor plan at your headcount, with the stage drawn in.
The site-visit checklist
Take this list to every viewing and get the answers in writing:
- Confirmed capacity for your actual format — seated banquet capacity is not cocktail capacity.
- Load-in access: dock or door height, lift dimensions, and the earliest hour crew may start.
- Rigging policy — what may be hung from the ceiling, and by whom.
- Whether in-house AV, catering or decor are mandatory, and the surcharge if you bring your own.
- Available power: total amperage, phase, and distance to the distribution board.
- Noise cut-off time and any residential neighbour conditions.
- Parking capacity, and where drop-off happens when it rains.
- Wet-weather alternative with a stated capacity, in writing.
- The strike deadline — the hour everything must be out — and any overnight fee.
- Cancellation and postponement terms, including the date the deposit stops being refundable.
Hidden costs that surface after signature
- Mandatory in-house AV, or a surcharge for using your own supplier.
- Rigging fees, or a rigging ban that forces ground-supported truss.
- Generator hire where venue power cannot carry the production load.
- Overtime on the strike when load-out runs past the contracted hour.
- Corkage, service charges and a minimum spend that only appears at the second quote.
- Additional bathrooms or cooling on blank-canvas and outdoor sites.
Timing: when to book in Johannesburg
The first two weeks of December are the peak. Strong venues for those dates are typically committed by October, and so are the better production crews. If your date is fixed, the venue decision should be made in September. If you are flexible, a late-November or a mid-week December date buys a materially better venue for the same money.
A note on budget context

A seated three-course evening with a built stage and a live band is a different piece of work from a standing cocktail function in a finished room, even at the same headcount and the same address.
