    Confirm headcount range and per-head budget with HR and exco, then shortlist venues. First three December weekends in Sandton and Rosebank commit earliest.
    July – August
    Lock the venue, sign the production scope and approve the 3D render. Deposits at this point protect both venue rate and crew availability.
    September
    Finalise theme, decor and menu. Open staff invitations and dietary collection while there is still time to adjust catering numbers.
